{"id":22279,"date":"2026-06-10T14:13:42","date_gmt":"2026-06-10T14:13:42","guid":{"rendered":"https:\/\/cccj.edu.jm\/site\/?post_type=awsm_job_openings&#038;p=22279"},"modified":"2026-06-10T14:20:48","modified_gmt":"2026-06-10T14:20:48","slug":"administrative-assistant-gmg-am-3-2","status":"publish","type":"awsm_job_openings","link":"https:\/\/cccj.edu.jm\/site\/jobs\/administrative-assistant-gmg-am-3-2\/","title":{"rendered":"Administrative Assistant (GMG\/AM 3)"},"content":{"rendered":"\n<p><strong>Job Purpose<\/strong><\/p>\n\n\n\n<p>The Administrative Assistant will assist the Director of Curriculum Development with administrative duties by providing a wide variety of complex and confidential administrative and secretarial support.<\/p>\n\n\n\n<p><strong>Key Outputs<\/strong><\/p>\n\n\n\n<p>\u2022 Efficient coordination and management of the Director\u2019s daily schedule and appointments.<\/p>\n\n\n\n<p>\u2022 Timely organization and coordination of meetings, conferences, workshops, and training sessions.<\/p>\n\n\n\n<p>\u2022 Accurate preparation, proofreading, and distribution of correspondence, reports, agendas, minutes, and other official documents.<\/p>\n\n\n\n<p>\u2022 Effective management of incoming and outgoing communications, including emails and telephone inquiries.<\/p>\n\n\n\n<p>\u2022 Maintenance of an organized filing and records management system for easy retrieval of information.<\/p>\n\n\n\n<p>\u2022 Timely monitoring and follow-up of assignments, deadlines, and matters requiring action.<\/p>\n\n\n\n<p>\u2022 Provision of confidential administrative and secretarial support to the Director, Curriculum Development.<\/p>\n\n\n\n<p>\u2022 Preparation and submission of routine monthly reports and other required reports.<\/p>\n\n\n\n<p>\u2022 Effective liaison with educational institutions, private sector entities, and internal departments.<\/p>\n\n\n\n<p>\u2022 Proper preparation and coordination of meeting briefs and supporting materials.<\/p>\n\n\n\n<p>\u2022 Maintenance and support of the Quality Management System.<\/p>\n\n\n\n<p>\u2022 Professional front office and reception support when required.<\/p>\n\n\n\n<p><\/p>\n\n\n\n<p><strong>Minimum Qualifications and Experience<\/strong><\/p>\n\n\n\n<p>\u2022 Associate Degree in Business Administration or a related field<\/p>\n\n\n\n<p>\u2022 At least one (1) year related working experience<\/p>\n\n\n\n<p><strong>Required Competencies<\/strong><\/p>\n\n\n\n<p>\u2022 Strong communication skills (oral and written)<\/p>\n\n\n\n<p>\u2022 Interpersonal and customer service skills<\/p>\n\n\n\n<p>\u2022 Confidentiality and professionalism<\/p>\n\n\n\n<p>\u2022 Time management and organizational skills<\/p>\n\n\n\n<p>\u2022 Problem-solving and decision-making ability<\/p>\n\n\n\n<p>\u2022 Attention to detail and accuracy<\/p>\n\n\n\n<p>\u2022 Ability to work under pressure and meet deadlines<\/p>\n\n\n\n<p>\u2022 Initiative and ability to work independently<\/p>\n\n\n\n<p>\u2022 Teamwork and collaboration<\/p>\n\n\n\n<p><strong>Special Conditions Associated with the Job<\/strong><\/p>\n\n\n\n<p>\u2022 Normal indoor office environment. May be required to work occasional irregular hours, and travel to meetings island wide locations with the Director of Curriculum Development as needed.<\/p>\n\n\n\n<p>\u2022 The incumbent must deal with a wide variety of people on various issues.
